How to manage your school’s enrollments with Kydemy

As we know, in every school or studio—whether artistic or academic—students are required to pay an enrollment fee at the start of the school year. This fee is renewed annually, meaning that a newly enrolled student, or one advancing to the next year, must pay this fee at the beginning of each school year.

With Kydemy, just like other daily operations in a school, enrollment management is made simple and seamless through the platform. How? Keep reading to find out!

Manage enrollments with Kydemy

To manage enrollments for your school year, you’ll first need to activate them on the Kydemy platform.

Here are two key points to keep in mind before proceeding:

• Expiration Date

You must set a validity date for the enrollment you’re activating. Once the set expiration date has passed, the system will automatically generate a new enrollment debt for the upcoming school year for the student.

• Price

Set the price for the enrollment for the specified school year.

Use Cases for Licenses/Enrollments

Once the enrollment is activated, the school has two options for managing it in Kydemy:

• Automatic Activation

By default, when the enrollment is activated, the platform automatically generates the enrollment fee as a debt for newly registered students. This will appear in the student’s profile with a red exclamation mark, indicating that the enrollment fee needs to be paid.

• Manually Paused Enrollment

For schools that prefer not to automatically generate a debt for newly registered students, the enrollment can be activated but kept on pause.

In this case, school administrators can manually manage each enrollment directly from the student’s profile in the platform.

This approach is often used when:

• Schools do not want to show a debt to newly enrolled students.
• The enrollment price varies based on the registration period (e.g., students registering before the summer may receive a discounted enrollment fee).

If needed, schools, students, or their families can download enrollment receipts directly from the platform in PDF format or print them as required.
